1. Introduction

Your Club's Constitution Is Changing

What's changing, why it matters, and how to have your say before the AGM

For All Selby RUFC members
AGM date Monday 3rd August 2026
Feedback deadline Monday 27th July 2026

Why Are We Doing This?
Our club's constitution — the rulebook for how Selby RUFC is run — hadn't been properly updated in a number of years. As part of routine good housekeeping, we've reviewed it from top to bottom, brought it up to date, and added some important new sections that the RFU now expects every member club to have.

Nothing about how the club actually runs day-to-day is changing. This is about putting in writing things we already do, and adding a small number of new protections — particularly around safeguarding, fairness, and data protection — that we're required to have in place.

In short: This is necessary updating, not a shake-up. We want you to understand what's changing and have the chance to ask questions or raise concerns before we vote on it at the AGM.

How to Have Your Say

We want to hear from you before the AGM. If you have a question, a concern, or simply want clarification on anything in the new constitution or policies, please tell us using one of the methods below.

Preferred — online feedback form

The quickest way to share a comment or question is via our short online form:

Member Feedback Form
• Takes less than 5 minutes
• You can submit anonymously if you'd prefer, or leave your name if you'd like a direct reply
• All responses are reviewed by the Board ahead of the AGM

Alternative — direct contact

If you'd rather raise something directly, particularly anything sensitive or personal, please contact:

Andy Fisher, Chairman chair@selbyrufc.com
Karen Ratcliffe, Operations Director comms@selbyrufc.com

Please get in touch by 27th July 2026 so there is time to review and respond to any questions before the AGM.

What Happens at the AGM?

  • Adoption of the new Constitution Two-thirds majority of Voting Members present and voting
  • Adoption of the six new policies Simple majority — Board resolution
  • Confirmation of Club Safeguarding Officer Board to confirm on record (the CSO also carries welfare responsibilities at Selby RUFC — we do not have a separate Welfare Officer role)

Please note: Adopting the new constitution needs a two-thirds majority of members present and voting at the AGM — a higher bar than our normal AGM business, which is why it's so important members read this guide and come prepared with any questions.
